Hospitality FF&E Scope Coordination

Turn an FF&E list into a scope that different teams can price and approve

FF&E can include loose furniture, fixed furniture, lighting, window treatments, rugs, art, decorative accessories and equipment. A coordinated interior does not make all of those items one manufacturing package. GEORGE Group can discuss the categories listed in the project brief, while the product configuration, manufacturing party, contract line and site interface are confirmed for the specific proposal.

This GEORGE Group hotel-room visual helps identify adjacent FF&E lines. It is a scope reference only; every visible item is not automatically part of a GEORGE Contract quotation.

Give every item a code, a status and a boundary

Minimum fields for an FF&E responsibility matrix

Item and zoneUnique code, room or public area, room family and quantity basisStops similar names from being treated as the same item
Package statusIncluded, optional, excluded, client-supplied or pendingStops a room image from becoming an assumed supply list

Site workReceiving, assembly, connection, installation, protection and waste removalPrevents supply from being confused with local installation

Resolve the interfaces between furniture and adjacent packages

  • Bed package: distinguish bed frame or base, headboard, mattress, bedside pieces, wall lights, power controls and linens. Check who coordinates wall fixing and electrical positions.
  • Window side: distinguish lounge furniture, curtains, tracks, blinds, floor outlets and façade clearances. Confirm who measures and installs the window treatment.
  • Desk or media area: separate furniture, lighting, sockets, cable management, television equipment and wall backing. Provide the equipment template before final openings are approved.
  • Restaurant and bar: separate loose seating, tables, fixed counters, worktops, lighting and food-service equipment. Record electrical, plumbing, ventilation and maintenance access by party.
  • Decorative package: identify rugs, art, mirrors and accessories individually. A coordinated colour palette does not establish their supply or fixing responsibility.

If GEORGE is asked to coordinate an adjacent category, state whether the work is product selection, drawing coordination, consolidated supply, manufacturing, packing or site installation. Those roles carry different deliverables and should not be represented by one word such as “included.”

Control versions before requesting a comparable quotation

Issue the same schedule, drawing set and finish references to every party. Date the issue and identify superseded files. When an item moves from pending to included, update its quantity, specification, interfaces, approvals, price and programme together. If a substitution is proposed, record the change in appearance, dimensions, material, performance evidence, cost and lead time before approval.

For an initial review, send the property and destination, room and area counts, current FF&E schedule, plans, design references, responsibility assumptions, target dates and the list of items that remain undecided. GEORGE can then identify which categories can be discussed and what evidence or interface information is still required.
